Drive Mission-Critical AI Innovation for Federal Agencies

As our Proposal Manager/Editor, you’ll help create winning proposals that showcase our technical capabilities and dedication to mission impact.

Your Mission Impact

You’ll lead the development and editing of high-quality proposals in response to federal RFPs, RFQs, and RFIs. You’ll be responsible for coordinating proposal efforts, ensuring compliance with requirements, and delivering compelling proposals that highlight our technical excellence and mission alignment.

Key Responsibilities

Proposal Management

  • Lead proposal kick-off meetings, progress reviews, and finalization efforts with cross-functional teams
  • Oversee the entire proposal lifecycle, including planning, scheduling, and coordinating responses to federal RFPs, RFQs, and RFIs
  • Develop proposal outlines, compliance matrices, and win themes aligned with Aurelius’ strategic goals and technical capabilities
  • Create and promote the use of shared folders on approved collaboration platforms for capture/proposal efforts
  • Manage tasks such as sending meeting invitations, leading kickoff meetings, and coordinating color-team reviews

Content Development

  • Establish style guidelines and evaluate content generation, configuration management, and related business-development methods
  • Collaborate with technical teams, business development, and subject matter experts (SMEs) to develop and refine proposal content
  • Track and assemble all materials, coordinating with contributors (e.g., contracts, pricing) to ensure timely submission of compliant and compelling responses
  • Analyze solicitation elements, including deliverables, requirements, implications, limitations, and potential challenges

Collaboration

  • Support and coordinate response content development in collaboration with marketing, writers, and contributors, considering winning themes, differentiators, client profiles, values, competitors, and advantages
  • Contribute to the continuous improvement of business development, lifecycle processes and best practices
  • Assist in developing a capable, efficient corporate service center for pre-award activities
  • Facilitate collaboration between writers, SMEs, and other contributors to refine technology/service ideas for inclusion in responses

Compliance Review

  • Perform compliance checks or engage resources to ensure compliance of responses
  • Track and assemble all materials, coordinating with contributors (e.g., contracts, pricing) for timely submission of compliant responses
  • Maintain awareness of current contract vehicles, certifications, company history, legal entities, and points of contact

Editing & Quality Assurance

  • Edit, proofread, and format proposals to ensure clarity, consistency, and compliance with solicitation requirements
  • Ensure that all proposal submissions meet federal procurement standards and address all RFP requirements
  • Develop, edit, and produce graphics, visual aids, and presentations for proposal and business development purposes

Content Management

  • Maintain a library of proposal content, past performance data, and reusable templates to streamline future proposal efforts
  • Track, retrieve, and distribute solicitations and related materials to relevant internal parties

Technical Excellence You’ll Bring

  • Bachelor’s degree in English, Communications, Journalism, Business, or a related field
  • 5+ years of experience managing and editing proposals for federal government contracts.
  • Strong knowledge of federal acquisition processes, including FAR/DFARS regulations
  • Excellent writing, editing, and proofreading skills, with keen attention to detail
  • Proven ability to manage complex, high-stakes proposals under tight deadlines
  • Proficiency in Microsoft Word, Excel, PowerPoint, and other proposal development tools

  • APMP certification or similar professional credential
  • Experience with proposal development in AI, data science, or technology-driven projects
  • Knowledge of federal contracting vehicles such as GSA schedules, IDIQs, and GWACs
  • Familiarity with Microsoft Power Platform and AI-driven technical capabilities

First 6 Months

  • Build a deep understanding of Aurelius’ technical capabilities, mission, and proposal processes.
  • Establish relationships with key team members, including business development, technical SMEs, and leadership
  • Develop a library of proposal templates, compliance matrices, and standard operating procedures
  • Lead proposal efforts for at least 10-15 federal opportunities, ensuring high-quality and compliant submissions

6-12 Months

  • Streamline and optimize the proposal development process, implementing best practices for efficiency and effectiveness
  • Contribute to winning 5-10 federal contracts by leading proposal management and content development efforts
  • Mentor junior team members in proposal writing, compliance, and quality assurance practices
  • Enhance the company’s content library with reusable proposal materials, graphics, and boilerplate content

Beyond Year One

  • Drive continuous improvement initiatives to elevate Aurelius’ overall proposal development capabilities
  • Lead strategic proposal efforts for high-value contracts, ensuring alignment with the company’s growth goals
  • Act as a thought leader in federal proposal management, sharing insights, best practices, and training with the broader team
  • Play a key role in shaping the company’s long-term business development strategy and success

Success Metrics

Proposal Win Rate (40%)

  • Achieve a targeted win rate for submitted proposals within the first year
  • Win between 5 – 10 contracts in year one

On-Time Delivery (30%)

  • Ensure that 100% of proposals are submitted on or ahead of deadlines
  • Maintain a compliance rate of 100% for all proposal submissions

Process Improvement (30%)

  • Implement at least 3 measurable process improvements to enhance proposal efficiency and effectiveness within the first year
  • Achieve a consistent standard of excellence in proposal writing, editing, and presentation, as measured by internal reviews and feedback
  • Conduct at least 2 training sessions or knowledge-sharing activities on best practices in proposal management and writing
