Job Description
Position Summary

The Director of Operations Support will report directly to the Chief Executive Officer and will serve as a major transformational change leader while assuming ultimate responsibility for numerous central services in support of a national, $100M+ commercial reconstruction, roofing, and capital projects organization with roughly 200 employees, 10,000 pieces of equipment, a fleet of 100+ vehicles and 27 warehouse and office locations. The individual will be responsible for assimilating and ensuring the adoption of best practices of an integrated resource delivery system across the company, driving strong and timely support of operation projects, enhancing efficiency through process improvement, and maintaining a heightened focus on quality and safety, while increasing profitability and ensuring both high customer and operations staff satisfaction.

Essential Duties & Responsibilities

Dispatch

· Oversee the management of dispatch coordinators and handling of inbound call volume to ensure continuity of operations 24/7/365

· Report on and monitor inbound call volume activity and timely response in accordance with company policies

· Monitor utilization of dispatch personnel and maximize value-add potential from down time across other areas other areas in Support Services

· Develop and Maintain personnel calendar to identify available resources 24/7/365

· Assign and monitor initial project team personnel to maximize claim response effectiveness and efficiency

· Oversee initial response travel project team travel plans in strict accordance with company policy

Vendor Management

· Oversee performance of vendor coordinator including onboarding and management of new vendor activity nationwide

· Ensure vendor maintenance program meets established company objectives for geographic and service type coverage across all major markets

· Regularly monitor vendor spend/activity reports and survey program

Equipment & Supply Management

· Oversee the management and procurement of equipment and operational supplies to ensure operational readiness, including physical inventories, mobilization/demobilization scanning, and standard operating procedures for purchasing, including field supply restocking

· Manage Inventory System for all Equipment, institute policies for equipment mobilization and demobilization to ensure inventory is returned from projects nationally.

· Work with regional teams to create a standard audit of trucks, warehouses, and projects to create reliable data for response to emergency losses.

· Report on utilization of equipment dispatched and billed over periods, volume in use versus volume not utilized to identify patterns and geographic needs.

· Responsible for rental equipment negotiations and effective utilization of owned equipment versus rental equipment for maximum margin enhancement

· Monitor, forecast and manage to upcoming levels of demand via effective of procurement processes

Fleet Management

· Develop and manage complete, affordable preventive maintenance programs to keep all vehicles operationally ready, clean, safe and in good repair

· Establish and manage a schedule for recommended replacement of fleet vehicles, including the negotiation of leasing arrangements

· Monitor and report on activity to ensure the safe and efficient operation of fleet vehicles and adherence to company vehicle policy use

· Manage Fleet Software program, GPS system to utilize in response for losses 24/7/365.

· Oversee ongoing compliance with all applicable federal, state, and local safety and environmental regulations and requirements, including (but not limited to) International Fuel Tax Agreement (IFTA), Dyed Diesel, Prorate, Form 2290, licensing and renewals, DOT permits (overweight and over width), OSHA regulations, crane permits, liquid waste management, storm water runoff from facilities, and fuel storage compliance, etc.

Facility Management

· Develop and manage complete, affordable preventive maintenance programs to keep all facilities secure, clean, safe and in good repair

· Responsible for maintaining building safety in compliance with local, state, and federal regulations and laws

· Responsible for lease renewal schedules, audits, inventory controls

· Work in collaboration with operations teams to identify future needs for warehouse locations, and using data from response and inventories identify under-utilized locations.

Job Requirements
EDUCATION & EXPERIENCE
• Bachelor’s degree is a must, advanced degree preferred
• Must have 20+ years of progressive management experience and 5+ years of similar/complimentary support services experience
KNOWLEDGE, SKILLS & ABILITIES
• Advanced knowledge in vendor management and procurement
• Familiarity with SmartX (equipment), Fleetio, Geotab (fleet) and Maptive (vendor management) software solutions is a plus
• Must have the ability to express complex technical concepts effectively, both verbally and in writing
• Excellent organization and communication skills, both verbal and written
• Ability to effectively lead and mentor a team of 10+ employees
• Very Proficient in Microsoft Office Suite of products, especially MS Excel and MS Word
