Position Overview:

As an Administrative Assistant at Southwest Cyberport, you will play an essential role in supporting the daily operations of our organization. You’ll be responsible for organizing office functions, managing communications, scheduling meetings, and assisting our leadership team. This is an entry-level role, and we provide the training and support you need to succeed and grow in your career.


Key Responsibilities:

1. Office Organization & Support:

  • Help maintain a well-organized office by coordinating supplies, managing office equipment, and ensuring everything runs smoothly.
  • Assist in maintaining organized files, records, and documents, both digital and physical.

2. Manage Scheduling & Appointments:

  • Help schedule meetings, appointments, and team events for the leadership and other departments.
  • Ensure meeting rooms are prepared and organized for presentations or team discussions.

3. Communications & Correspondence:

  • Act as a point of contact for team members and clients, managing both internal and external communications.
  • Draft emails, handle phone calls, and prepare meeting agendas or notes.

4. Assist in Team & Project Coordination:

  • Provide administrative support to team members working on projects, helping to track deadlines and deliverables.
  • Assist in organizing team events, meetings, and business functions, ensuring all logistical details are in place.

5. Data Entry & Record Keeping:

  • Input and update data in company systems, ensuring accuracy and organization.
  • Maintain sensitive information securely and help ensure that office documents are properly filed and accessible.

6. Administrative Tasks:

  • Assist with office-based administrative tasks such as processing invoices, coordinating travel arrangements, and managing incoming mail.
  • Support other departments as needed, stepping in to help with special projects and tasks.

What You Bring to the Table:

Experience:

  • No prior experience required! We're looking for someone eager to learn and grow in an administrative role.
  • Any experience in customer service, retail, or internships where you supported a team is a plus, but not necessary.

Skills:

  • Organizational Skills: You can handle multiple tasks at once and stay organized, even when things get busy.
  • Tech-Savvy: Comfortable using email, Microsoft Office (Word, Excel, PowerPoint), and the internet. We’re happy to train you on any tools or software you don’t know yet!
  • Communication: Clear and friendly communicator, both in writing and speaking. You’ll interact with a variety of team members and clients, so being approachable and professional is key.
  • Attention to Detail: You notice the little things and take pride in making sure everything is done right.
  • Team Player: Collaborative and excited to contribute to team goals. You know how to work well with others and contribute to a positive environment.
